Three Lessons From Our Planning and Systems Work

Across very different projects, the same lessons keep appearing. Here are three, from a multi-branch organization, a planning platform and a mobile app.

We work with organizations of very different sizes and sectors. The projects look nothing alike, yet the same lessons keep coming back. Here are three.

1. Enforce through the system, not through reminders

A large organization with nearly 200 branches had good policies and no way to apply them. We built one plan, one budget and one report into the way the work is done, so compliance no longer depended on follow-up. We piloted it in three months and scaled it in the next three. Leaders moved from managing operational and technical detail to leading strategy.

2. A plan that takes months will not be kept alive

We once built nearly 20 business plans for one company, using spreadsheets, dashboards and a team of experts. The plans were good, but slow, expensive and hard to change, and nobody tracked results against them. That experience led to TavPlans, which brings planning down to hours or days, and keeps tracking in the same place.

3. Research first, and build engines, not one-offs

A client asked for an educational app for young people, to replace a small static one. We carried out five research reports before writing requirements. Then, instead of building one app, we built reusable engines and content packs, which now hold over 70 mini apps and tools. New tools no longer need a rebuild.

The common thread

In each case, the value came from fitting the system to how the work is really done, and making it easy to keep using. Technology alone did not deliver it.
